What we collect
When you enquire through this website, call us or apply for a tenancy, we collect your name, contact details and the information you choose to share. For tenancy applications this may include identification and right-to-rent documentation, income information and references.
How we use it
We use your details to respond to enquiries, assess tenancy applications, prepare agreements, manage properties and repairs, collect rent, and keep records required by law. We do not sell or rent personal data to third parties for marketing.
Sharing
Where necessary we share data with referencing providers, contractors attending your property, deposit protection schemes, utility providers at move-in, and professional advisers or authorities where the law requires it.
Retention
Enquiry details are kept up to 12 months if no tenancy results. Tenancy and landlord files are kept for up to 6 years after the relationship ends, as required for legal and tax purposes.
Your rights
You may request access to, correction of, or deletion of your personal data at any time by emailing service@sapphirerh.uk. You also have the right to complain to the ICO (ico.org.uk) if you believe we have mishandled your data.
